Your ledger, statements and documents
Where to find every transaction, monthly statement and signed document for your homes, how to read the ledger, export it for your accountant, and what to do when something is missing.

Go to doorvest.com and sign in with the email you use for Doorvest.Open Ledger & Docs
In the sidebar, open My Homes and choose Ledger & Docs. On a phone, the same list is under Menu. You can also go straight to doorvest.com/documents.Pick a tab
The page has three tabs. Each one answers a different question.

Two shortcuts open the same page. In your Wallet, open a home's row and click View ledger to see that home's ledger, or Statements to open the Statements tab. On My Homes, and on each home's page, the Ledger & docs card has a View all button.
Open Ledger & DocsRead your ledger
The Ledger tab opens in the Table view: one line per transaction, newest first. The Monthly view groups the same lines by month. On a phone, the switch between the two shows icons only.

- Date
- The day the transaction posted.
- Description
- What the line is for. When a line has no description, you see the name of its accounting category instead.
- Category
- The kind of activity, such as Rental Income, Management Fee or Repairs & Maintenance.
- Amount
- Green is money in, red is money out.
- Balance
- The ledger's running balance after that line.
Three more columns appear only when they apply: Property when more than one home is in view, Unit when the lines carry a unit label (usually a building with several units), and Payee when the lines name one.
Where did the Balance column go?
The running balance belongs to one ledger, so the column shows only when everything in view comes from a single ledger. If your homes are on separate ledgers, the page says: “Running balance is per property. Filter to a single property to see it.” Click Filters, choose one home under Properties, and click Apply. If your home moved to Doorvest from another manager, the ledger brought over from that manager counts as a separate one too.Lines that look wrong but are not
A few kinds of line often look wrong at first glance, but are not.
- A line tagged Markup
- When a vendor bill carries a management markup, the ledger shows two lines with the same description, often on different dates: the vendor's bill, and a smaller line with a Markup tag. Hover over the tag on a computer to read: “Management markup on the vendor bill of the same description, not a second charge for the same job.”
- A utility bill
- Has a second line under its description with the utility, the service period, the bill amount, and either Charged to tenant or Charged to homeowner.
- Owner Distribution
- The money paid out to you.
- Balance Forward
- Money carried over from earlier books, for example the balance your previous manager held for the home when Doorvest took over. It is not new income.
- Transfer between your homes
- A move you made between two of your homes in your Wallet. It shows on both homes.
- Security Deposit
- A resident's deposit coming in or going back out.
Distributions, balances carried forward, transfers between your homes and security deposits move money without being income or an expense, so the totals above the table leave them out. A note under the totals names exactly which lines it skipped.
Get a year's income and expenses for one home
- On the Ledger tab, click Filters.
- Under Properties, choose the home. Under Date Range, choose Last Year (the year is shown next to it), or Custom Range for other dates.
- Click Apply.
- Read the strip above the table: Income, Expenses and Net, with the number of transactions. The totals cover every line your filters match, not only the page you are looking at.
The ledger loads your last 12 months first. Choosing All Time, or a range that starts earlier, loads your full history, which can take a moment. If it does not load, click Try again.

The Income statement report on the Statements tab gives the same period broken out by category. See make a custom report.Export your ledger to a spreadsheet
- Set the filters you want: a home, a date range, a category.
- Click Export, then Export as CSV or Export as Excel.
- The file holds every line your filters match, from either view. It has columns for the date, property, unit, account, description, payee, category, amount and balance, and says which lines are markups and which are not counted as income or expenses.
Export is greyed out for a moment while your full history is loading.
Money held for each home
Under the ledger, Held balances shows money set aside for each home. In the page's words: “Money set aside on your behalf. Not part of your available balance.”

- Reserves
- The reserve kept in the home's account so recurring work keeps running. The Wallet guide explains how it fits with the rest of the balance.
- Security deposit
- The resident's deposit held for the home.
- Work order holds
- Money held against open work order estimates.
Download a monthly statement

- Open the Statements tab.
- Narrow the list with Filter by property, and with Year once you have statements from more than one year.
- Click Download for a statement we have on file, or Generate for a recent month. Generate builds the statement from your ledger on the spot and downloads it as a PDF.
Make a custom report
Click Need a custom report? at the top of the Statements tab. There are four reports.

- Choose the report.
- Choose one home or several. Several homes download as one zip file, with a list inside showing which reports were made.
- Enter a start and end date, or tap a preset such as Year to Date, Last Quarter or Last Year. A rent roll asks for one date instead.
- For anything but an owner statement, choose a Format. Then click the download button at the bottom. For an owner statement it reads Generate statement.
For a building with several units, every report except the owner statement also lets you pick units.
When a month is missing or will not generate
- Months before Doorvest. Statements start in the month Doorvest began keeping your home's books. If your home moved to Doorvest from another manager, earlier months were on that manager's ledger, so they are not listed. Ask your previous manager for those statements, or message your Success team if you need help.
- A home you sold. Its statements on file stay listed, but it gets no Generate rows. You can still make an owner statement as a custom report for dates you owned it.
- An error saying no statement is available for those dates. The dates fall outside the time you owned the home, or outside the time Doorvest kept its books. Pick dates inside that window.
If the message says we could not reach our property-management system, that is usually brief: try again in a few minutes. If a month you expect keeps failing, message your Success team with the home and the month.
Find a signed document
- Open the Documents tab.
- If you own more than one home, use Select property to pick one, or leave it on all of them.
- Each home has a card holding its folder. Open a folder to see what is inside. Click a file to preview it, or the download button beside it to save a copy.
Older files, and documents signed electronically for the home while you own it (such as closing documents), are in the Other documents folder on the home's card.

What appears in Documents, and what to ask for
These are filed to a home's folder for you:
- A management agreement you sign in Doorvest. It is filed usually within an hour of signing, under a name that starts with PMA_, then the address and the date it was filed. Once it is there, older copies of the home's agreement are hidden from the list, not deleted.
- A purchase agreement or letter of intent you sign when you buy a home on the Doorvest marketplace.
- Documents signed electronically for the home while you own it, such as closing documents.
Anything else, such as a lease, a renewal or an inspection report, appears only when your team adds it. If you need one, message your Success team from Messages, and say which home and which document.
Your W-9
A signed W-9 is never put in Documents, because it shows your Social Security number or EIN. When we need one, you will see an item that starts with Sign your W-9 on your Action items page, and only the account holder can sign it.Records for a home you sold
- Statements: the statements on file for the home stay listed, and you can make a custom report for dates you owned it.
- Documents: a sold home no longer has its own card. Documents signed for it, and documents we filed for it, may still be listed on a separate Other documents card when all your homes are selected. If you need one that is not there, message your Success team.
